Create and set up approval workflows

The assisted Set up Payment Approval guide helps you every step of the way when creating new payment approval workflows. Even if you need to set up more advanced approval workflows, it doesn’t get much simpler than this.

The way it works is that you create a payment approval workflow for a payment journal. All payments made from that payment journal must then go through the defined approval process before they can be sent to and processed by the bank.

If there are payments, for example, from a specific vendor, that must go through a different approval process, you simply create an approval workflow for another payment journal and make sure to process the relevant payments from there.

Furthermore, if you want to be sure that payments from a specific bank account always goes through an approval process no matter what, the Payment Approval module supports that too. We’ll get into that setup later.

For now, let’s look at how to create an approval workflow for a payment journal.

Create an approval workflow for a payment journal

Important

You can only set up approval workflows for payment journals enabled for Payment Management and only users with the SUPER or CPM365 APPRADMIN permission set can create or modify payment approval workflows.

Before you start creating an approval workflow, you can ease the process by first considering the following:

  • Identify the users who should take part in the workflow and make sure they are set up in the standard User Setup in Microsoft Dynamics 365 Business Central.

  • Determine the amount up to which you’ll allow payments to be exported to the bank without approval.

To set up a new approval workflow, search for and open the Payment Management Setup page and in the action bar, select Assisted Setup. In the list of assisted guides, select Set up Payment Approval.

In the Set up Payment Approval guide you’ll be taken through the following steps:

  1. Activate payment approval workflows for a specific payment journal. Keep in mind that you can only assign an approval workflow to one payment journal.

  2. Add approval users and specify who should receive the approval request. Essentially, you can choose to assign the approval requests to specific users based on their approval limit or you can assign the requests to a specific number of users.

  3. Specify the required level of security by deciding whether users must request approvals for each individual line in the payment journal or if a single approval for the entire journal batch will be sufficient.
