Send remittance advices
- 7 Min.
A remittance advice serves as a notification or confirmation to a customer, employee or vendor that a payment has been made. It provides detailed information about the payment, such as payment reference and method, helping to streamline payment processes by reducing errors, minimizing disputes, and aiding in reconciliation for both you and the recipient.
General setup
For Banking Export, a default remittance advice is automatically configured in a remittance information template. By using templates, you can standardize and notifications to vendors, clearly defining how critical details such as invoice numbers, payment amounts, and dates are formatted and presented.
You can view the general setup on the Banking Export page under the Remittance FastTab and of course also tweak the setup to match your company's needs.
The Remittance Advice section specifies how the advice should be sent to the payment receiver, for example, if the remittance advice should be sent via the bank or if it should also be sent via email.
The Remittance Information section indicates the template used to generate and format the specific remittance advice.

Use a custom remittance information template
The general remittance information template serves as the default remittance template when no other remittance information is specified.
You can override the default remittance template by configurations on various pages within Continia Export. For instance, if you want a different remittance advice only to be sent with international payments, you can create a new remittance template and assign it to the payment journal used for processing those payments.
Other places where you can assign a remittance template are on:
The Payment Journal Setup page. This assigns the remittance template to all payment suggestions processed from the payment journal.
A Payment Suggestion Template. This assigns the remittance template to all payment suggestions generated from the payment suggestion template.
Note
You can also select a specific remittance information template when you define the filtering for creating new vendor, customer, or employee payment suggestions.
For details about how to assign remittance templates to these different pages, please refer to the article Selecting a Remittance Information Template on Continia Docs.
Set up remittance advice for vendors, customers, or employees
You cannot assign a remittance information template directly to a specific vendor, customer, or employee. However, you can customize a few settings for each, which will override the general remittance setup when sending remittance advice to that particular vendor, customer, or employee.
Navigate to the relevant customer, vendor, or employee card. Under the Payment FastTab, you can customize the remittance advice for the individual recipient:
Recipient Email: Enter the recipients email address if you want to send the remittance advice via email. The email address is only used, if you choose to send the remittance advice both via bank and email.
Compress Remittance Text: Enable this toggle to compress the length of the remittance advice. This is useful in situations where a bank may have limitations for the number of characters used in a remittance advice.
Remittance Advice Information Type: Choose to send the remittance advice via bank and email or only via the bank. If you choose Bank & Email, an email address for the recipient must be specified.
Create Remittance Advice After Specified No. of Entries: Indicates that the remittance advice should only be sent after a specific number of payment entries.
View and update remittance advice for payment lines
You can view the remittance details for each payment line in the Remittance Information Entries FactBox in either the payment journal or on the Payment Suggestion page.
In situations where you've updated a remittance template, you may want to update the remittance information on the payment lines accordingly. To do this, in the action bar, select Line > Rebuild Remittance Information.
Manually add a remittance information entry to a payment line
There may be special situations where the default remittance information does not apply or need additional information. In this case, you can add it manually to ensure that all the relevant information is conveyed to the recipient.
- To manually add a remittance information entry or tweak the system-generated entry, in the action bar, navigate to Line > Remittance Information Entries and add your custom entry.
Note
When you rebuild remittance information, any custom remittance entries you've added will be deleted.
