Configure how to find recipients for each email template

Now that your email templates are ready to send out, you need to ensure that each document is sent to the correct email address for each recipient.

What would you do when the correct recipient for some documents is found in the email field on the customer card, but for others it's found in another table, such as the Bill-to customer?

Email templates include an email recipients setup to specify how email addresses used by Document Output are located from fields in reports or database tables.

If you have just installed Document Output, the recipient setup for each email template will have a prioritized list for where to fetch each vendor or customer’s email address in Business Central. If the first priority location does not contain an email address for a recipient, then Document Output will go through the other options in the priority list until an email address is located.

From the Email Templates page, you can view and adjust how Document Output identifies recipients for each email template through the Email Recipients Setup FactBox.

Email addresses can be sourced from a range of locations in your company's Business Central. Any potential source needs to be related to the document processed by the email template.

The New action adds lines for extra potential locations of email addresses, and the actions Move Up and Move Down set the order of priority for email addresses that are located through the lookup. Each time an email template is used, the highest priority successful lookup for each customer or vendor is used for sending the email.
