Create expenses from credit card transactions

When credit card transactions have been imported, you can have Expense Management automatically create new expenses from the transactions, or you can have Expense Management attempt to match transactions to expenses that have already been created by the card owner. This is configured on the Payment Type card.

If the Create Expense from Transaction is enabled, Expense Management will always automatically create a new expense and send it to the card owner, who can then attach photos and categorize the expense.

Note

Date, currency amount, and description on the transaction will always be added to the expense.

When using the matching method, you can choose between Never Required, Always Required, or Required From Date. If you choose Always Required, you can set an allowed difference under the Match to Expense menu. It's recommended that you set the Maximum Matching Difference in % to 2 and also Date Variance allowed when matching (Days) to 2.

Note

If Create Expense from Transaction and Matching Method are set to enabled, Expense Management will attempt to match a transaction. If there isn't a match, a new expense will then be created.

Manual

If you choose to deactivate the Create Expense from Transaction, all credit card transactions will end up in the Unmatched Cue in the Role Center.

From here, you can manually match the transaction to an existing expense or create a new expense by selecting Match or Create Expenses. The expense will automatically be displayed in the card owners Expense app, where they can attach images and add extra information and then send it for approval.

Alternatively, if the expense user has already created an expense, attached images, and entered the necessary information, you can open the expense list and match the expense to a bank card transaction. To do this:

  1. Go to Expenses.

  2. Select Expense > Match Bank Transaction...

  3. Choose the bank transaction you want to match with, and then select Set Match > OK.
