Installation and configuration

Important

To install Document Capture, you must be assisted by a Continia partner. You can find an overview of all approved Continia partners on www.continia.com.

The Document Capture solution can be installed from Microsoft Appsource or directly from your Business Central tenant without even leaving the application

  • From Microsoft AppSource or from the Extension Management in Business Central, simply search for Document Capture and select Free Trial and complete the steps.

After the installation, the next steps are to activate the solution, import configurations, and perform some basic setup. Document Capture has two assisted setup guides that take you through all the necessary steps to get started.

The Activation guide

When you sign in to Business Central, a notification will appear at the top of your Role Center, asking if you would like to activate Document Capture.

Select Activate now and a dialog appears in which Document Capture requests permission to communicate with Continia's servers. You must select Allow Always and then OK.

Now, complete the assisted setup guide.

Document Capture modules

When you activate Document Capture in trial mode, this enables all five Document Capture modules for free, for 30 days. After the free trial period expires, you'll be notified in the Role Center that you need to buy a subscription for Document Capture to continue using the solution. When you activate Document Capture and choose to start a subscription, you must decide which modules to enable, and you'll then be billed for using the solution.

EssentialThis module is mandatory and allows you to import purchase invoices and credit memos into Document Capture and Business Central. The module enables you to recognize document header fields using OCR and to map the recognized data to the actual location of the textual content in the documents.
Advanced CaptureThis module enables you to import and recognize other types of business documents than purchase invoices and credit memos. It also allows you to capture both header- and line-level data and to split business documents automatically during import, if necessary. The module is particularly relevant to you if you need to import complex documents, high volumes of documents, or documents from multiple different vendors.
Order MatchingThis module makes it possible for you to match incoming documents with related documents, such as purchase orders, return orders or return shipments. The documents are basically compared to ensure that there’s consistency between them: If the documents match (for example in terms of price or number of items), they can be processed and approved automatically.
Document ApprovalThis module gives you a full approval workflow that allows you to approve business documents, assign approvers, and set approval limits. You can force the approval of documents, put them on hold, have them approved automatically, or delegate them if, for example, you’re out of office for a period of time.
Purchase ContractsThis module makes it easy for you to manage your various subscriptions, such as for car rental, newspapers, mobile phone subscriptions, and have them reviewed regularly to ensure timely action. It streamlines the approval process as you can have purchase documents approved automatically upon registration.

The Assisted Setup guide

Next, the assisted setup guide will take you through a number of basic configurations.

Continia has made a set of configurations that you can import from Continia Online that includes all the basic configuration to allow you to get started immediately with the basics.

If you're running the guide in an end-user environment, you may not want to include all configurations, such as templates and document categories, as some of them may be unnecessary. Deselect any configurations, you do not wish you include in the setup.

Additions to the Role Center

When you have installed Document Capture, several of the existing roles are extended with new shortcuts and activities in their respective Role Centers. The Business Manager and Accountant roles are extended with a Document Capture cue group.
