What does each Document Capture module include?

Document Capture comprises an Essential module and four optional modules that can be added to your subscription.

Essential

This module is included with all subscriptions. Some of the key features of the module are:

  • Automated data capture using a combination of AI and traditional OCR technology for PDF and XML files
  • Connection to the Continia Delivery Network for receiving and sending XML format eDocuments such as invoices and credit memos, in compliance with European and local laws
  • Batch processing and registration
  • Customize fields to recognize in documents
  • Control and security with full audit trails

Advanced Capture

This optional module adds some powerful features to the process of receiving and registering documents. Some of the key features of the module are:

  • AI-enhanced line recognition to capture data over multiple rows
  • Item reference from document lines
  • Processing document categories in addition to purchase documents, for example sales orders and delivery notes
  • Automatic splitting of PDF files to separate multiple documents received in the same file
  • Automatic moving of documents to one of your Business Central companies, based on file contents

Order Matching

This optional module allows you to automatically approve incoming business documents that match other related documents such as purchase orders or return shipments. Some of the key features of the module are:

  • Matching based on vendor shipment number and vendor order number
  • Automatic line-by-line matching, with flexible configuration (this requires you to also have the Advanced Capture module installed)
  • Automated, rule-defined tolerance of differences between order and invoice amounts
  • Support for package tracking in order and receipt matching

Document Approval

This optional module sets you up with a full approval workflow with the ability to assign approvers and set approval limits for each. You can also force the approval of documents, approve them automatically, and set up forwarding and delegation of approvals. Some of the key features of the module are:

  • Automatic approval and posting within predefined limits
  • Approval sharing, either for a period or indefinitely
  • Support for four-eye approval
  • Unified dashboard view of cross-company approvals in the Web Approval Portal

Purchase Contracts

This optional module makes it easy to track and review recurring invoices related to a subscription or contract, such as phone bills, software licenses, or parking garages. Some of the key features of the module are:

  • Automatic identification of recurring invoices
  • Central management of purchase contracts for recurring costs
  • Periodic review process for purchase contracts, allowing you to identify unneeded subscriptions and reduce recurring costs
  • Auto-approval of invoices up to the allowable limit defined in a purchase contract
