How do you set up user permissions in Document Capture?

Document Capture adds a range of built-in permission sets to Business Central during installation. These permission sets are designed for typical roles with a company, for example accounts payable clerks.

Important

The two mandatory Document Capture permission sets, CSC BASIC and CDC BASIC, are automatically assigned to all current Business Central users during the activation of Document Capture. For new Business Central users who are created after installation, you must manually assign the two permission sets.

Assign permissions to users

If you are a system administrator with the SUPER permission set assigned, you have access to all Business Central features, including Document Capture and the assigning of permissions. This enables you to assign permissions to regular users so they can use the features in Document Capture.

In addition to the two mandatory permission sets, you can assign other permissions sets to each individual user on their respective user card. For detailed information, you can read our Docs article about Document Capture Permissions.

Tip

If you're dealing with multiple users with similar roles, you can Control access to Business Central using security groups, which assign permission sets across a group of users at the same time.

Using Role Centers with Document Capture

During installation, Document Capture creates two new Business Central roles:

  • Continia Document Capture
  • Continia Document Capture Approver

Additionally, several of the existing roles are extended with new shortcuts and activities in their respective Role Centers. In particular, the Business Manager and Accountant profiles are extended with a Continia Document Capture Activities cue group.

Users can change their own roles, provided that they have the necessary permissions.

  1. Click the settings icon in the top menu.
  2. Click My Settings.
  3. Change your role.
