Suggest, export and post payments

All the basic setup has now been completed, and it's time to create and process the first batch of payment suggestions.

  • To create new payment suggestions, in the action bar, select Home > Suggest Vendor Payments.

The fields have been filled in based on the payment journal setup and, if necessary, you can change the settings, for example, if you want to create only one line per vendor per currency, you can turn on the Summarize per Vendor toggle.

When you select OK, all the payments that comply with the settings appear and depending on your validation settings, they'll all have gone through validation.

In this example, you can see that some lines are already valid and others need your attention before they can be processed further.

Now use the information in the FactBoxes to, for example:

  • Check and resolve any validation errors, such as missing cost type or incorrect payment method.

  • Respond to approval comments that require your attention. Directly from the payment journal, you'll have all the relevant approval information ready at hand.

  • Verify any bank accounts in situations where any bank information details used for a line is new and unverified.

  • Verify the applied entries and note whether the related invoices have already been approved.

When all lines have the status Valid, you can either send the payment suggestions for approval or export them.

  • To export the payment suggestions, in the action bar, select Home > Export/Send Payments. Depending on whether you use direct or manual communication, this exports the payments directly to the bank or to a file.

You can follow the status of the payments in the Status column. When using direct communication, the status is updated automatically, however, you can manually trigger the update from the action menu Home > Update Status.

When the payments have been processed by the bank, the status updates to Paid and you can post the payment lines by selecting Post/Print > Post.

Send remittance advice

You can send a remittance advice to the recipients of the payments both before or after you post the payments. The remittance advice will be sent according to the setup, you learned about in the module Customize Banking Export.

  • To send the remittance advice, in the action bar, select Prepare > Send Remittance Advice.
