Recognize document contents

As you work in the document journal to prepare documents, you need to make sure that all the required information is located and recognized.

How does Document Capture recognize document content?

Scenario

Ester has a few purchase invoices imported, and now she needs to check how Document Capture has recognized the document content.

Ester needs to:

• Navigate to and around the document journal.
• Recognize information on a PDF purchase invoice.
• Recognize document lines using AI or manual recognition.

Map content from XML files

Document Capture uses the file structure in XML files to map the information directly into Business Central. The Document Viewer creates a user-friendly view of XML files, with a similar format to traditional documents.

When you receive an XML file via email, the Document Header FastTab shows the link between each Field and the XML Path.

When you receive an XML file through the Continia Delivery Network, you can check the mapping of the information from the Document action menu, using the XML Viewer action.

Recognize content from PDF files

The Document Viewer displays where Document Capture locates suggested values in imported PDF files. To view these details, select a line:

• On the Document Header FastTab in the Document Journal.
• On the Lines or Document Header FastTabs in the Document Card.

Working with fields and values in PDF files

Under the Document Header FastTab, you can work with the suggested Fields and Values. If a value hasn't been recognized, but you can see the relevant information in the document viewer, you need to teach Document Capture where to find this information.

1. On the Document Header FastTab, click inside the cell for the missing field or value.
2. Use the left mouse button to draw a box around the value in the document viewer. Values are displayed with blue boxes.
3. Use the right mouse button to draw a box around any caption, such as a heading or label related to this value. Captions are displayed with orange boxes.

If a caption appears in subsequent documents using the same vendor template, Document Capture will automatically recognize the associated value – even if it is in a different location. Each field in a document template can use one or more captions to help it find the values in each imported file.

Working with document lines in PDF files

When you receive documents that contain multiple lines, you need to open the Document Card to work on these details.

1. Select the relevant line from the list of documents in the Document Journal.
2. Open the Document action menu, then click Document Card.

In the General FastTab, you have the option to Recognize Lines in three methods.

• The AI option is a highly reliable method for recognizing information for document lines.
• The Manual option requires you to teach Document Capture where each piece of information can be found in the PDF document, using the Document Viewer.
• The No option allows you to disregard the document lines on an invoice, and process only the total amounts.

You can use the Document Viewer to manually recognize line information, in a similar way to how you recognize document information in the Document Header.

1. On the Lines FastTab, click inside the cell for the missing item number, quantity, description, or other field.
2. Use the right mouse button to draw a box around any caption, such as a heading or label related to each field to be recognized. Captions are displayed with orange boxes.
3. From the Home action menu, use the Recognize Fields action to prompt Document Capture to populate the lines with the recognized content. Recognized line content is shown in the Document Viewer with blue boxes.
