Extended Application for open entries

Once you work with more than a small amount of sales and purchase documents, the apply entries pages in Business Central can become tricky to work with. The Extended Applications feature in Continia Finance Essential Module gives you a collection of powerful features that make it faster and smoother to work with open entries.

These features are especially helpful if you:

  • Have larger numbers of sales invoices
  • Work in a team of bookkeepers and accountants who share tasks in Business Central

Navigate to Continia Finance Setup page, and in the Extended Application FastTab, enable Use Extended Application.

Clearly show applied entries

With Extended Application enabled, pages for applying entries, such as in the cash receipt journals, gain extra columns and coloring of details.

Set Applies-to ID checkboxes

Instead of selecting each line, and then using the Set Applies-to ID action from the Home menu, you can apply-ID with a single click for each line. This speeds up your work greatly when working with a larger number of lines.

Line colors for applied entries

Applied entry lines are displayed with bold green text for the fields in:

  • Applies-to ID
  • Posting Date
  • Document Type and Document Number
  • Description
  • Due date

This speeds up your work by making the important details clearer to see.

Display lines applied to a different ID

Lines which have been applied to a different ID are shown in bold italic red text for the fields in:

  • Applies-to ID
  • Posting Date
  • Document Type and Document Number
  • Description
  • Due date

This is especially useful when multiple Business Central users could be apply entries for the same customer or vendor. It’s possible to overwrite the content of the Applies-to ID field if needed.

Handle partial payments and residual balances

With Extended Applications, applying entries with partial payments is smoother and more transparent. When you enter a partial payment amount in the Amount to Apply field, the extra field Open Amount displays the remaining amount in bold italic red text.

Tip

Enable the Entry Comment column so that you can quickly record information such as the reason for the partial payment, directly inside the entry lines. Simply enable Use Ledger Entry Comments in the Continia Finance Setup page.

After posting an applied partial payment, the remaining amount for the entry line is displayed in bold blue coloring in the Application Remaining Amount column in future applied entries.

Flexible options for handling balance in application

The Extended Application feature includes set up options for Balance in Application instead of keeping the payment open for the remaining amount.

The option at Action if Balance in Application < > 0 has two choices:

  • New line, which always creates an additional line for the balance
  • Options, which opens a dialog box whenever the applied payment doesn’t match the remaining amount

If you choose Options, you can further select the default option from the choices:

  • Create a new line
  • Keep payment as open
  • Post as payment discount
  • Create new G/L line

Then, when you next post a partial payment, the dialog box appears for you to choose from the available options.

Scenario

Ester is busy applying payments to open entries in the cash receipt journals. She has enabled Extended Application and Use Ledger Entry Comments to make her work smoother and faster.

She needs to do the following tasks:

  • Apply full and partial payments to different open entry lines
  • Apply different IDs to open entry lines
  • Handle remaining amounts from partial payments in different ways
