Set up templates to capture different types of amounts

"Sometimes the invoices we receive include lines that need different posting set up, such as freight charges or extra fees. I'm worried that if I don't have a clear process for handling this during registration, then the inconsistencies will create problems later on."
Ester, Accounts Payable at Cronus
While simple invoices can be handled as one amount that needs the same posting setup, many documents (such as invoices) include amounts that need different posting, such as freight charges or service fees.
Take a tour in the solution
In this scenario, you're working with accounts payable at the demonstration company, Cronus. You have an invoice to process that includes a freight charge, and the posting set up for this amount should be different to the rest of the invoice.
To set it up, you need to use the Accounts for Amounts feature on the source template. The steps to follow are:
- Set up the source template for recognition of multiple amount fields, using Accounts for Amounts.
- Use the Recognize Fields action to apply the updated template field configurations.
Set up posting for amount fields
Documents such as invoices usually have required fields for type (for example G/L account or item) and the relevant number, which deal with the posting setup for the overall amount. However, with the Accounts for Amounts action, you can specify a different posting setup for other recognized amounts within the total.
- From the document journal or document card, open the Template action menu and use the Accounts for Amounts action.
- Select the relevant field and specify the posting setup on the Type and No. columns. Optionally, you can specify values in the other columns, such as for posting codes and dimension values.
The two dimension codes included in Accounts for Amounts are preconfigured by default. However, you can further configure the dimensions from the Accounts for Amounts page.
- Open the Related action menu. You may need to click More options first.
- Click the action for Line, then Dimensions.
- Enter a value for Dimension Code, and optionally add a default Dimension Code Value.
